How do I hire staff and run a rota without a recruiter?

You cannot get staff, and you cannot afford a recruiter. A vacancy goes on three sites, applications arrive by email and message, and half of them get lost in the middle of a Friday service. The good applicant takes another offer while you are still replying.

The rota is the next headache. A spreadsheet, a group chat and a clipboard in the kitchen all hold a different version, and nobody remembers who swapped with whom.

Mosey keeps the whole chain in one login: a vacancy workers can find, applications you can answer, a rota staff see on their phones and the hours, leave and tips records you are asked about when it matters.

How do staff, rotas and hiring work on Mosey?

  1. Post a vacancy and answer applicants

In Jobs, write the vacancy as a draft, read it aloud and publish. Workers find it on the Mosey Jobs site and apply. Open Applicants, read each CV and message, reply to everyone and arrange a trial shift with the ones you like.

  2. Keep records and publish the rota

In Staff, People holds each person's record and documents. Build the week on the Rota and publish it, and staff see their shifts in their own app. When you change a published rota, staff are told.

  3. Track hours, leave, tips and training

Time and pay records the hours people clocked and you approve them each period. Leave holds requests and balances, Tips records how tips are split, and Training holds courses and certificates. Mosey exports the figures your payroll provider needs.

What do my staff and applicants see?

Applicants see a clear vacancy

A vacancy shows your business, the pay and the hours you write. Workers can search, save a vacancy and apply, and they hear back from you through Mosey.

Staff see their own shifts

Staff see the published rota in their own app, request leave and see their balance, and clock in and out. They do not see each other's identity documents: documents sit in a vault with its own access.

A fair record of tips

The Tips tool records tips and how they are split between staff, so the split is written down and visible. No money moves through it. You pay tips out through payroll.

Mosey prepares payroll figures but does not run payroll, file with Revenue or move wages. Contracts and right-to-work checks stay yours, and the guides say how.

How do I set up hiring and the rota?

  1. Claim your business free and invite your team in Team and access, with a role for each person. Staff, managers and owners see different things by default.
  2. Start with People and the Rota, because they pay back at once. Add Time and pay when your team is used to the rota, and Leave after that.
  3. Write your first vacancy as a draft with the role, hours and pay in the first few lines. Use plain words, because a worker decides in under a minute.
  4. Reply to every applicant, even with a no, within two days. Pay for trial shifts and give each one a real task and a colleague to learn from.
  5. When someone says yes, add them under People, give them the right role and close the vacancy so it moves to History.
  6. Keep your own records of who you hired and when, and confirm the rules on working time, payroll and record keeping with your accountant.

What does hiring and staff management cost on Mosey?

The Staff group and Jobs sit in your dashboard without a rate of their own on the card. Hiring a contractor for a single shift through the marketplace is 7% of the engagement, with payment held in escrow until the work is confirmed. The marketplace is open to an early group of businesses for now. Courses for your team carry their own fees, listed on the pricing page.

How is this different from a recruiter or a spreadsheet?

A recruiter charges a fee for each hire and you still read the CVs. A vacancy on Mosey is yours to write and answer, and workers on the Jobs site are looking for food and hospitality work.

A spreadsheet rota has no memory and cannot tell anyone when it changes. The Rota helps you watch working time limits, though rules vary, so confirm yours. A published change tells staff.

A payroll tool runs wages. This does not. It records hours, leave and tips and exports the figures, so your payroll provider or accountant starts from clean numbers and you pay people through your own payroll.

Who is this right for: café, restaurant, bar or food truck?

A restaurant or bar with a rota of a dozen people gets the full benefit. A café with five staff mostly needs the vacancy and the rota. A food truck hiring a driver or a cook for a single weekend can use a contractor for the shift once the business has access to the marketplace. A business with only family staff can leave most of it switched off.

Hiring, rota and training questions from owners

  • Does Mosey run my payroll?

No. It prepares and exports hours, leave and tips for your payroll provider or accountant. You pay people through your own payroll, and Mosey does not move wages.

  • Where do workers see my vacancy?

On the Mosey Jobs site for workers, where they can search, save a vacancy and apply.

  • Does Mosey check right to work?

No. Contracts, right-to-work checks and pay rules are your responsibility. Keep your own records of who you hired and when.

  • Who can see staff records?

People with the Rota, leave, timesheets & staff records permission, which owners and managers have by default. Documents have their own access, so publishing a rota does not let someone read identity documents.

  • Does the Tips tool pay my staff?

No. It records tips and how they are split so the split is clear and visible. You pay tips out through payroll.

  • Is hiring the same as the Staff group?

No. Jobs is for hiring people you do not yet employ. The Staff group holds the rota, hours, leave and records for people who already work for you.

  • Can I hire someone for a single shift?

Yes, once your business has access to the contractor marketplace, which is open to an early group for now. Post an open shift or send a direct offer, with payment held in escrow until the work is confirmed.
