Group bookings and private hire

Group bookings and private hire: requests, quotes and deposits on one booking

Let customers ask for your room, your whole floor or a table for twenty. You confirm, decline or send a quote, collect a deposit by link and see everyone's allergies before the night.

Free to claim

Every tool is optional.

Why do big parties take so much of your week?

A party enquiry starts as a message. Then comes the call about numbers, the email with the quote, the deposit someone promises to pay on Friday and the list of allergies that arrives on the morning. One birthday for thirty can eat a week of small jobs.

Every step is easy to lose: the quote in one inbox, the deposit in a bank transfer, the dietary notes on a napkin.

On Mosey the request, the quote, the deposit and the guests' dietary needs live on one booking, and your team and the customer both see it.

How do group bookings and private hire work on Mosey?

  1. The customer sends a request

From your page in the app, a customer sends the date, the number of guests, the occasion and the space they would like. It arrives marked clearly as a request, not yet a confirmed booking.

  2. You confirm, decline or quote

Confirm the request, decline it, or send a quote with your price and any changes. The customer can accept your quote or counter it, and the conversation stays on the booking.

  3. A deposit link secures the date

Send a payment link for the deposit. The customer pays online, or you mark the deposit as paid in person if they handed it over. Either way the date is held.

What do you and your guests see?

Packages with a price

Add packages: a set menu priced per head, or a flat price for room hire, with a minimum number of guests if you need one. Editing a package later never changes a quote already sent.

Allergies before the night

The booker gets a link to share with the group. Each guest tells you their dietary needs, and you see the totals and a prep sheet before the day, with no private messages to piece together.

Money handled for you

Choose how the deposit is worked out: a fixed amount, a sum per guest, a percentage of the agreed price, or decide each time. A customer's cancellation follows the refund tiers you set, and a booking you cancel yourself is always refunded in full.

Mosey's commission on a gathering deposit is 4.5% plus VAT. Quotes, the calendar, the prep sheet and the invoice have no charge of their own.

How do I switch on group bookings and private hire?

  1. Host your business on Mosey and open Gatherings.
  2. Turn on Enable Gatherings, choose the event types you host, such as birthdays, weddings and corporate events, and set the largest group you can take.
  3. Describe your space. Customers see this on the request form.
  4. Add packages: a per-head set menu or a flat price for room hire, with a minimum number of guests if you need one.
  5. Open Deposit policy, choose how deposits are worked out and set your refund tiers. Connect your Stripe account in Account and billing so customers can pay.
  6. Open Requests, answer your first enquiry with a confirmation or a quote, and send the deposit link.

What do group bookings and private hire cost?

Taking requests, quoting and invoicing have no subscription charge. Mosey's commission on a gathering deposit is 4.5% plus VAT, taken from the amount we send to your Stripe account.

How is this different from handling parties by email?

Email keeps the conversation and loses the rest. A Mosey booking keeps the request, the quote, the deposit, the allergy list and the invoice together, so anyone on your team can pick it up.

Your inbox shows each booking as a thread with the quote history beside it, so a reply and a revised quote stay together and the customer sees the same thing.

Who should take group bookings and private hire?

Restaurants, bars and cafés with a room, a back section or a quiet weekday to sell: birthdays, christenings, wedding meals, work dinners and club nights. If you can only seat tables of six, take bigger parties through ordinary bookings instead.

Turn party enquiries into confirmed dates

Host your business on Mosey, turn on gatherings and answer your next enquiry with a quote and a deposit link.

Group bookings and private hire: questions from owners

  • What is the difference between a large booking and a gathering?

A large booking is a table in your diary, with a set menu if you like. A gathering is a request for a space or a bespoke event, where you quote a price and agree it before the date is held.

  • Can customers counter my quote?

Yes. They can accept your quote or send back a different time or number of guests, and you answer on the same booking.

  • What happens to the deposit if I cancel?

If you cancel or decline a paid booking, the customer is refunded in full. If the customer cancels, your refund tiers decide the percentage, based on how long before the event they cancel.

  • Can I take the deposit in cash?

Yes. Mark a deposit as paid in person and the booking moves on. If you have to refund it, you hand the cash back yourself, because Mosey cannot refund cash.

  • How do I find out about allergies?

The booker shares a link with the group and each guest answers a short form. You see the totals and a prep sheet before the day.

  • Can customers rate a gathering?

Yes, once you mark it complete. They rate food, hosting, the space, organisation and value, and the score does not change your main star rating.
